1. Who we are
Malaysian Speech and Debate Academy, Reg. No. 202401029457 (1575305-P) (“MSDA”, “we”, “us”), runs speech and debate classes, holiday camps and competitions. We are responsible for the personal data described in this policy.
2. What we collect
- Parent or guardian details: name, phone number and email address
- Student details: name, age, school and school year
- Learning records: attendance, levels, progress reports, competition scores, certificates and awards
- Recordings: video and audio of online classes and competition rounds
- Payment records: payments are handled by our payment provider; we do not store card details
- Website data: basic technical data such as browser type and pages visited
3. Why we use it
- To place each student in the right age band and level
- To run classes, give feedback and prepare progress reports
- To run, judge and record competitions fairly
- To contact parents about classes, results and upcoming events
- To improve our syllabus and services
- To meet our legal obligations
4. Children’s data
Our students are children, so a parent or guardian must enrol them and give consent on their behalf. We do not knowingly collect a child’s data without that consent. If you believe we have, contact us and we will delete it.
5. Recordings
Class and competition recordings are used for coaching feedback, judging and your child’s speech portfolio. They are viewed only by MSDA coaches, judges and your family, stored securely, and deleted [12 months] after the end of the relevant term, unless needed to resolve a dispute.
6. Publishing results
We may publish winners’ names, schools and awards on our website and social media. Parents can opt out at enrolment or by contacting us.
7. Who we share it with
We never sell personal data. We share it only with:
- Service providers that help us run classes and events (video conferencing, Google Classroom, payments, email), under confidentiality obligations
- Competition organisers, when a student enters an external competition and you consent
- Authorities, where the law requires it
8. Transfers outside Malaysia
Some service providers may store data outside Malaysia. Where they do, we take reasonable steps to ensure it is protected to a standard comparable to Malaysian law.
9. How long we keep it
We keep personal data only as long as needed for the purposes above, then delete or anonymise it. Certificate and award records may be kept longer so we can verify them.
10. Security
We use reasonable technical and organisational measures to protect personal data. No method of sending data over the internet is completely secure, but we work to keep your data safe.
11. Your rights
You may ask to access or correct your or your child’s data, withdraw consent, or limit how we use it, including for marketing. Contact us and we will respond within the time required by law. Withdrawing consent may mean we cannot continue a student’s enrolment.
12. Changes and language
We may update this policy and will post the latest version here. A Bahasa Malaysia version is available on request.
